The biggest problem is keeping the data up to date. I had high aspirations but am not that great at keeping it up. I have about 250 plants.
If you are serious consider a proper database such as access on wintel or FileMaker on Mac. There are a number of one to many relationships one plant flowers multiple times, gets repotted multiple times. Rather than having a spreadsheet with 300 columns make a relational db is the more sensible approach. A bit of a learning curve but worth it in the long run.

Orchid Wiz maintains two data base formats. One is an access type which you can add photos to as well as other data and the other is Excel which provides a printable version of your complete collection by type and name once entered in Orchid Wiz.
Orchid Wiz also provides where and when a plant has been registered, its cultivar name and the family tree behind the breading along with in most cases photos of other plants and culture notes. This I believe is an invaluable resource even for those starting out. Just type in Orchid Wiz in your internet search engine and you should find the site.

I'm currently using a spreadsheet with columns for date acquired, price, vendor, date of last bloom, etc., and dated pictures linked - but I enjoy keeping it updated so it's not a chore. I have another tab for a prioritized wishlist. Yes, I'm a nerd in a techie field 😉. OrchidWiz sounds interesting, though - I'll have to check it out.

Yeah, hahah!! Now I also have a tab with an alphabetized wishlist. I am also a nerd, and I love to nerd out with my plants!
Orchidwiz seems a bit too nerdy and expensive for my current collection.... Maybe in the future.

I have both an Excel spreadsheet and a nice 7"x 10" leather bound journal that I bought at Barnes and Noble. I use Excel to keep track of the dates my plants are in bloom. In my journal I numbered all the pages and keep an index in the front. I have a couple pages for each orchid and I write everything in #2 mechanical pencil so that I can make changes. I've been keeping my journal for about 8 years and here are the items I refer back to the most.
Blooming dates - I often look at my journal to see when to expect a certain orchid to bloom or to check to see how often it's blooming.
Number of spikes and number of flowers on each spike- Since we grow orchids for the flowers, I often refer back to see if my culture practices are producing more flowers or less. I also like to see what is the maximum number of flowers per spike that this orchid can produce.
Name of the vendor and date purchased - People are often asking me where I got a certain orchid and my memory is notoriously unreliable.
Repotting date, type of pot and media - So many times I've thought an orchid was doing better a couple of years ago and I wonder why. I look back to see what pot and media I was using.
My impressions of the orchid - For some reason I occasionally forget how much I like a certain plant. I may think that an orchid was just OK last year but when I look in my notes, I see that I wrote down "spectacular blooms" or "beautiful flower".
I really enjoy sitting on my patio with a cup of coffee in the morning or glass of wine in the evening and jotting down notes about my orchids. You may want to use a journal, even if it's just to makes notes that you later put in the computer.

Speaking of OrchidWiz... Awhile back I know there was some trouble between AOS and OrchidWiz over copyrights on photos. Now a friend of mine is trying to renew his copy of OrchidWiz, but the web page fails him and he cannot find a working number. Neither could I. Any definitive info out there?

Hi Astrid, I've used the Orcid Album on my iPad for about a year. I love it! It's easy, you don't have to invent anything. You can even set it up for watering schedules and reminders if you want. I think the app cost about $10 but I'm not sure. The Orchid album lite, which is free only lets you enter 3 orchids. It's a come on and you can't move your data to the full app if you want. So it's good to get an idea of the program but don't waste time entering information. You can enter as many orchids and photos as you like on the full Orchid Album. I use the photos often to track growth, length of bloom etc. The only downside I've found is the app. is not real clear about all it's different features. Many of the best features I stumbled upon after 6 months or so of use. But maybe it's just my lack of that kind of computer skills. Check out the free one to see what you think! Donna
